Time Card Calculator
Add up your hours for the week from start and end times, with breaks, overtime and pay.
Quick answer: Enter the start time, end time and unpaid break for each day to get your total hours for the week in hours and minutes and in decimal hours. For example 9:00 to 17:00 with a 30 minute break is 7 hours 30 minutes (7.5 hours).
For information only. This is a calculator, not payroll or legal advice. Overtime and break rules differ by country, state and employer, and by contract. Check your own rules or ask your payroll office.
How to use it
- Enter the start and end time of each shift. A shift that ends after midnight is counted correctly.
- Type the unpaid break in minutes, such as 30.
- The total appears at once in hours and minutes and in decimal hours. Enter an hourly rate to see pay, and tick overtime to apply an overtime rate.
Your entries are kept in this browser so they are still there next time. Nothing is sent anywhere.
Examples
| Shift | Hours worked |
|---|---|
| 9:00 AM to 5:00 PM, 30 min break | 7 h 30 min (7.5 hours) |
| 8:00 AM to 4:30 PM, 30 min break | 8 hours |
| 7:00 AM to 3:30 PM, 60 min break | 7 h 30 min (7.5 hours) |
| 10:00 PM to 6:00 AM, no break | 8 hours (overnight) |
| 9:00 AM to 6:00 PM, 60 min break | 8 hours |
How the total is worked out
For each day: end time minus start time, minus the unpaid break. If the end is earlier than the start, the shift is treated as ending the next day. The days are added in whole minutes, so there is no rounding until the display. Decimal hours are minutes divided by 60, for example 7 hours 45 minutes is 7.75 hours.
Overtime
In the United States, federal law generally requires overtime pay at 1.5 times the regular rate for hours over 40 in a work week for covered employees. Some states and many contracts add daily overtime or different rates. The overtime box here uses a simple weekly rule: hours over the number you enter are paid at the multiplier you enter.
Counting hours on a time card
A time card adds up the hours between each start and end time, minus unpaid breaks. Paid breaks, such as short rest breaks, are usually not subtracted. Employers often record time in whole minutes, and some round to the nearest five, six, ten or fifteen minutes. This calculator does not round, so you can see the exact total and compare it with your pay slip.
Decimal hours
Payroll systems often use decimal hours, where 7 hours 45 minutes is written as 7.75. To convert, divide the minutes by 60. 15 minutes is 0.25, 30 minutes is 0.5 and 45 minutes is 0.75. A common mistake is to write 7 hours 45 minutes as 7.45, which is only 7 hours 27 minutes.
Overtime
In the United States, covered employees generally earn overtime at one and a half times their regular rate for hours over 40 in a work week. Some states add daily overtime rules, and many employers have their own policies. Other countries use different thresholds and rates. The overtime option here applies a simple weekly rule with the hours and multiplier you choose.
Checking your pay
- Total your hours for the pay period.
- Split the hours into regular and overtime.
- Multiply regular hours by the hourly rate, and overtime hours by the rate times the multiplier.
- Compare the gross pay with your pay slip. Taxes and other deductions are taken after this.
For information only: this is not payroll or legal advice, so check the rules that apply to you.

Questions
How do I calculate hours worked?
Subtract the start time from the end time, then subtract unpaid breaks. For 9:00 to 17:00 with a 30 minute break that is 7 hours 30 minutes.
How do I calculate hours when the shift goes past midnight?
Enter the real start and end times. If the end is earlier than the start, the calculator adds a day, so 22:00 to 06:00 is 8 hours.
How do I turn hours and minutes into decimal hours?
Divide the minutes by 60 and add the hours. 7 hours 45 minutes is 7.75.
Does this calculate overtime?
Yes, with a simple weekly rule. Rules differ by place, so check your own.
